Administration Information
Care of Property
Students are responsible for their own property. Lost property found on the premises should be handed into a Client Service Centre.
Change of Address/Name
You can update your name, address, phone number or emergency contact details by logging onto Student Self Service available on the Sunshine Coast TAFE website. Alternatively you can telephone the Customer Contact Centre to make changes. Keeping your details current will ensure that your results and other important information reaches you.
Change of Enrolment
First see TAFE Queensland Student Rules – section 4.
If you decide to change, repeat or withdraw from your studies and after you have discussed the situation with your teacher and / or sought advice from an Institute Counsellor then ask either our Customer Contact Centre or visit a Client Service Centre for a withdrawal form which you will need to complete. After completing the form, return it either by post or in person to the Client Service Centre, who in turn will forward it to your teaching team to action.
Computer Access & Student Accounts
First see TAFE Queensland Student Rules – section 15.
All students enrolled at Sunshine Coast TAFE will be given a unique student login for the Education Computer Network. This login will provide students with access to:
- The internet
- A range of software, including the specific software required for their program of study.
Students can save their data to:
- CD ROM
- an external USB storage device
Only when specifically instructed by a delivery staff member, shall students save data to any Education Network G:drive directories. Student network accounts and internet usage is regularly audited by SCT IT staff. If students exceed their disk space limit, store non-course related files or breach any of the ‘Computer Login Obligations’ (see below) their account may be disabled and appropriate action taken relevant to the offence.
Computer Login Obligations
By clicking the splash screen OK button when logging on, the user agrees to use the Computing and Network Facilities solely for legal and ethical study purposes. These purposes are to reflect the high moral and academic standards of Sunshine Coast TAFE. Without limiting the generality of the above the user agrees to not:
- Use the Computing Facilities for purposes other than those purposes for which the User is authorised.
- Use the Computing and Networking Facilities for mischievous or fraudulent purposes.
- Download, upload, copy or otherwise deal with in any manner any software or applications or other material which is protected by copyright.
- Download, upload, copy or otherwise deal with in any manner any software or applications or other materials, which is by virtue of its contents illegal.
- Defame or bring ill repute by any means any person, product or organization.
- Install or use any software or applications not approved of or authorised by TAFE Queensland.
- Act in such a manner as to breach any State and Commonwealth Government laws or regulations whatsoever, and without limiting the generality of the forgoing, in particular, legislation relating to discrimination, sexual harassment, copyright and electronic access.
- Gain or attempt to gain access to another User’s account or masquerade as another User.
- Intercept, download or attempt to electronically read another User’s files, transmissions or electronic mail.
- Divulge to any unauthorised person, either intentionally or negligently passwords associated with access to the computing and networking facilities.
- Use any password to access the computing and networking facilities unless it is the password, which the user was issued by TAFE Queensland staff.
- Attempt to access any computer system or network without appropriate authority
- Attempt to bypass system restrictions or security mechanisms.
- Attempt to change configuration files or settings.
- Intentionally damage or destroy any computer systems or data, or develop or use programs for this purpose.
- Exceed allocated host computer disk space.
- Use the computing and networking facilities to intimidate, harass or annoy another person.
- Use the computing and networking facilities to infringe on another person’s right to privacy.
- Connect to the network, any technology devices other than those approved by TAFE Queensland with the exception of USB storage devices.
Continuing Students
Continuing students should be aware that some programs require re-enrolment each semester. Re-enrolment information will be distributed prior to re-enrolment each year. The copy of your confirmation of enrolment must be shown to the teacher at the first class session. If this is not provided, you cannot legally participate in the program.
Eating & Drinking
Eating and drinking in classrooms or corridors is prohibited.
Enrolments
The Sunshine Coast TAFE Customer Contact Centre is available to assist students with all program enquiries and enrolments via credit card. The Customer Contact Centre operates Monday to Friday from 8:00am to 5:00pm.
Alternatively students can visit Client Service Centres that are open Monday to Friday from 8:30am to 4:30pm. The Client Service Centres will be closed at 3.30pm on the 1st and 3rd Friday of each month for staff training. Cash, EFTPOS and Credit Card are accepted through Nambour, Noosa, Maroochydore and Mooloolaba. Credit Card and EFTPOS facilities are available at Caloundra campuses.
Lockers
A limited number of lockers are available at most centres and are allocated on a “first come” basis. Contact your teacher to assist you with this. You need to supply your own locks and be responsible for clearing out your locker at the end of each week.
Messages and Notice Boards
Due to Qld Government Privacy requirements, staff are unable to pass on messages of a non training related nature to you. Only very serious and urgent messages will be taken. In such circumstances all effort will be made to contact you, but no responsibility will be taken for non-delivery of messages. A Student Services notice boards are in each centre. Ensure that you are up to date with current information by regularly checking the notice boards.
Mobile Phones and other electronic devices
Firstly see TAFE Queensland Student Rules – sections 14.9 and 15.
The use of mobile phones and other electronic devices are not permitted in the classroom. Exceptional circumstances can be negotiated.
Non-attendance – classroom studies
Sunshine Coast TAFE will withdraw a student’s enrolment if the student does not participate for 10 programmed days. At this time the student will be contacted to discuss withdrawal from the course of study. It may be possible to transfer fees the student transfers from one program to another within 14 days of the start date of the original competency or program. If they choose to change their enrolment after this time they will be liable for additional fees.
Parking
Parking is permitted in designated areas. Vehicles are parked on Sunshine Coast TAFE grounds at the owner's risk. Vehicles illegally parked in signed areas, on lawns or in spaces clearly signed for persons with disabilities may be towed away at the owner's expense. Each centre has parking spaces for people with a disability. You must display a relevant Department of Transport permit when using these spaces.
Nambour Disabled Parking - students with a disability who have a relevant Department of Transport permit and wish to access disabled parking in the upper car park require a boom gate pass. Students with a short term disability or medical condition requesting access to this car park are required to provide a medical certificate. Contact Asset Services on 5459 3579 for a boom gate pass. Disabled parking is also available within the student car park on the lower level. No boom gate pass is required for the lower level.
Photocopying
Low cost photocopying is available at each centre except Caloundra. Please ask at the Library for details.
Privacy of Personal Information
Personal information collected as a result of your enrolment will be used by the Department of Education, Training and the Arts for general student administration, vocational education and training administration and regulation, as well as departmental planning, reporting, communication, research, evaluation, auditing and marketing. Only authorised departmental officers have access to this information.
- Your personal information may be disclosed to Commonwealth and State Government authorities and agencies.
- Your personal information may be shared with other Queensland TAFE’s in which you enrol or apply to enrol.
- If you are a school-based apprentice or trainee, your personal information, attendance details, progress and results will be disclosed to your school and the Queensland Studies Authority.
- Your results may be disclosed to the Queensland Tertiary Admissions Centre.
- If you are an apprentice/trainee, your personal information, attendance details, progress and results will be disclosed to your employer or host employer.
- If you are under the age of 18 years your personal information, attendance details, progress and results may be disclosed to your parent/guardian with your written consent.
- If you are studying at TAFE Queensland towards your secondary education, your personal information, attendance details, progress and results will be disclosed to your school and to the Queensland Studies Authority as authorised by the Youth Participation in Education and Training Act 2003.
No further access to your enrolment information will be provided to any other organisation or persons without your consent unless authorised or required by law, in accordance with the Information Privacy Principles in Information Standard 42.
Public Telephones
Public telephones are located at most centres. Client Services staff can help you find the nearest public phone.
Refunds
Refunds are processed in accordance with the TAFE QLD Student Refund Policy. To apply for a refund you need to complete an Application for Enrolment Amendment – Program form and attach any relevant evidence as outlined below.
A refund less a $10.00 processing fee will be given if you cancel your enrolment before the program commences.
You may be eligible for a refund if :
- You accept a QTAC offer (QTAC letter must be provided)
- You suffer an illness or injury preventing you from completing the program (valid Doctor’s certificate must be provided)
- Exceptional circumstances prevent you from completing the program (letter from SCT counsellor must be provided)
- You receive a *transfer credit. You must apply on the approved form within five (5) weeks after the subject starts
If you wish to receive a refund for a user charge such as a safety kit you must produce evidence that the item was paid for but not issued. If the Sunshine Coast TAFE cancels a program, refunds will be given in full.
Students enrolling into Fee for Service programs must notify the Sunshine Coast TAFE in writing of their intention to withdraw no later than 5 working days prior to program commencement in order to be eligible for a refund. A $10.00 administration fee will be deducted from all Fee for Service program refunds.
A student suspended or expelled, is not entitled to:
- A refund of any charges paid to the Sunshine Coast TAFE except where expressly provided for in the Vocational Education Training and Employment Regulation 2000
- Be relieved of the payment of any charges already payable
- Any pro-rata refund/reduction in charges paid or payable.
*Note - Changes to enrolments are effected once the required “Change of Enrolment Details Form” is completed and submitted to a Client Service Centre.
Results and Awards
Your results will be posted to you within 21 working days of your completion of all of the assessment to the address supplied on the ‘New or Continuing Student Personal Details’ form. Please make sure we have your CORRECT address to avoid delays in receiving your results. There is a cost attached to receiving duplicate or replacement documentation. Check with the Customer Contact Centre for details.
If a student requires a copy of their Academic Advisement Transcript, or a reprint of lost or destroyed Results of Assessment, a charge is incurred. Please phone the Customer Contact Centre for the latest fees.
A Statutory Declaration signed by a Justice of the Peace / Commissioner for Declarations is to accompany a request for reprint of Awards.
Restricted Areas
All classrooms are off limits to students in non teaching time. Practical areas such as workshops, computer rooms and kitchens are off limits unless a supervisor or teacher is present.
Smoking
Firstly see TAFE Queensland Student Rules – section 14.5. Smoking is allowed in signed or designated areas as per the Sunshine Coast Institute of TAFE Smoking Policy.
Transport
Please contact local transport companies for information regarding fares and timetables. All campuses are accessible by public transport and Nambour campus is close to Queensland Rail services.
